Yamba Malawi


Yamba Malawi acknowledges that strained resources, poor safety nets, and limited caregiver capacity lead to poor childhood development outcomes, particularly during children’s first five years, and have lifelong effects. The organisation recognises that limited financial literacy and insufficient access to formal financial services hinder communities’ and caregivers’ efforts to invest in their children’s futures. It is also cognisant of the fact that limited economic opportunity creates a cycle of extreme poverty that increases childhood vulnerability and has lifelong effects on children’s growth, development, and happiness.

The organisation is working towards improving nurturing care and support through the strengthening of community safety nets and services and increasing caregiver knowledge and skills in best practices for childhood wellbeing and ECD. It also aims at increasing the availability of financial services and resources, including training, access to savings and credit, and budgeting to improve the use of income for children’s existing and future needs. This is done by improving economic resilience through diverse income generating activities that provide increased income to meet children’s basic needs.

Yamba Malawi is, therefore, implementing a child focused livelihoods security program using a two
pronged poverty graduation model through two interconnected areas of programming: household-
level and community-level. At both levels, the Program includes a planned, time-bound sequence
of activities that pairs the transfer of productive business assets with training, savings promotion,
short-term income stabilisation, and critical ECD and childhood well being coaching that enables
caregivers to plan beyond immediate needs and build foundations to improve their children’s futures.

The organisation is seeking experienced professionals to contribute their high level of expertise to the organisation and the program through the following position:

As a growing organisation, the Grants Manager’s role is a key for Yamba Malawi’s program development, responsible for proposal development, report coordination and ensuring the proper implementation of all grant compliance policy and procedures through appropriate coordination and information dissemination. The Grants Manager reports to the Executive Director and works closely with the Program Director and Managers and United States based funding raising team.


Program Design and Proposal Development

  • Coordinate proposal and budget development process for concept notes and proposals
  • Review potential funding opportunities and provide a brief to senior management that will
    inform the go/ no go decision
  • Submit proposals and budgets for review ensuring that the grant applications are prepared according to the required format and submitted to donors where applicable
  • Research on potential funding opportunities
  • Design and deliver proposal development capacity building training and contribute to the development of proposal development skills among Yamba Malawi staff
  • Provide support and advice on funding issues relating to current grants and planned proposals to Yamba Malawi staff Sub-grant management (CBO and other partners)
  • Conduct due diligence and vetting of potential sub-award partners using the Yamba Malawi Partner Assessment tools, policies, and procedures
  • Review sub-grants for compliance with government rules and regulations
  • Provide feedback and request clarifications on sub-grant documents that have been submitted for approval
  • Support Program Managers in the drafting of partner agreements
  • Maintain master files on sub-grants on hard copy and in the share drive
  • Oversee all internal, external, and sub-grantee reporting with programs and finance, ensuring high-quality, well-written and timely reports

Reporting & Documentation

  • Manage all internal and external reporting, ensuring high-quality, well-written and timely
    reports meeting donor and Yamba Malawi requirements, with support from Programs Director, M&E Manager, Program Managers/Coordinators.
  • Ensure that draft reports disseminated for review and feedback by senior management team, relevant technical advisers are of high quality and in compliance prior to submitting the final report to donor.
  • Consolidate program progress reports based on input from program managers, including
    tracking progress on program indicators and reporting on key program highlights/issues.
  • Prepare and update program and specific sectoral information sheets. Provide relevant
    communications information as necessary for dissemination to donors and US office.

Grants Management & Compliance

  • Working with the guidance of the Executive Director, work closely with Programs Director, program managers/ coordinators and the finance and operations teams on all grants related tasks, specifically focused on compliance and grants administration.
  • Maintain the grants and report tracking system to ensure all grant files are Organised and well managed for planning and preparation of donor reports and project monitoring.
  • Organise and follow-up grant opening meetings, monthly grant review meetings, and grant close out meetings.
  • Support program teams in monitoring program activities, work plans on a monthly basis to ensure program quality in collaboration with the Executive Director, Programs Director, Program Managers/Coordinators.
  • Undertake training for program and operations staff on grants management related issues as needed.


  • Liaise with donors regarding grants and grant management.
  • Maintain excellent relationships internally within Yamba Malawi and with all Yamba Malawi’s partners, Government and other donors.
  • Oversee development and maintenance of reporting systems and processes related to grants management.
  • Maintain master files on grants.
  • Conduct monitoring visits to field locations and provide capacity building and training for field staff on reporting and donor compliance issues as necessary


  • Minimum of Bachelor’s degree and postgraduate qualifications in Development Studies, Agriculture Economics, Rural Development or Social Sciences and other related disciplines or other relevant field
  • Master’s Degree Desirable
  • 5 years or more of NGO and development programming experience in a similar position: grants management, proposal development (program narratives and budgets) and donor reporting.
  • Knowledge of UN (UNICEF/ UNDP/ UNICEF/WFP), US (USAID), EU and UK (DFID) and other donor regulations, procedures, and requirements
  • Proven ability to develop winning proposals to donors
  • Excellent written and spoken English essential
  • Excellent organisational skills, ability to determine priorities and attention to detail a must
  • Ability to work in a multicultural context as a flexible and respectful team player
  • Willingness to travel to the field as and when needed
  • Work in a multi-sectoral/multi-cultural team-patience, cultural sensitivity and application
    of contextual understanding in day to day work
  • Ability to work with tight deadlines for report writing/ information needs
