Bishop Mackenzie International School – BMIS, is seeking to recruit an experienced Marketing and Communications Coordinator, to be responsible for delivering the school’s marketing and communications strategic plan and nurture positive relationships with the school community in support of BMIS goals.

OVERVIEW:

  • The Marketing & Communications Coordinator reports to the Head of Operations.
  • The Marketing & Communications Coordinator is responsible for coordinating external messaging from the school.
  • The Marketing & Communications Coordinator is responsible for the daily operation of the admissions and marketing functions within the school.
  • The Marketing & Communications Coordinator is an important role in the school as admissions is often the first point of contact to the school, and the individual will be responsible for further developing and delivering the school’s marketing strategy in order to meet enrolment targets.

SPECIFIC DUTIES AND RESPONSIBILITIES

Marketing

  • Develop, coordinate and implement the marketing plan and strategy for the school
  • Plan events, etc. to provide prospective parents and students with an opportunity to find out more about the education at BMIS, meet current parents and staff, and try out classes
  • Determine sources of potential students in the local market and build a network of marketing and admission contacts within the local region and Japan
  • Provide the School Accountant and teachers with necessary information on new students and act as the first point of notification of withdrawal and to inform the other administrative staff of these withdrawals
  • Assist in the production of communications including leaflets and brochures as well as publications such as the prospectus. The coordinator will contribute to the setting and monitoring of house style and branding
  • Have responsibility for checking that new and prospective parent information and resources available through the external/public areas of the school’s website are accurate and up to date

Communications

  • Liaise with individuals (primarily parents) and organizations (local schools, businesses, international organizations, etc.) in spreading information about the school as widely as possible;
  • Work to obtain positive coverage in appropriate media: working with the Director, the Admissions and Communication Coordinator will help to identify stories to offer to the media, supply press information and assist with any media enquiries or press events;
  • Maintain physical and computerized records of all students admitted to the school including profiles on ManageBac and Schoolbase

Admissions

  • Meet with a wide range of prospective parents and their children, respond to and follow up initial admission inquiries and provide information and campus tours for visiting prospective parents/students;
  • Schedule admissions tests and interviews for visiting applicants and those required to take tests under the admissions procedures;
  • Initiate and maintain correspondence and application files related to student recruitment and applications for admission and input data to the electronic admissions summary sheet;
  • Provide statistics on enrolment to the administration, evaluate data to predict trends and to provide a basis for future school development and budget planning;
  • Provide the School Accountant and teachers with necessary information on new students and act as the first point of notification of withdrawal and to inform the other administrative staff of these withdrawals;
  • Manage admissions to ensure the required information is provided through application forms, previous school recommendations and documentation.
  • Liaise with Principals and previous schools to administer any assessment tests that may be required on entry to the school.
  • Ensure new students are entered into the various systems around the school including ManageBac, library, email accounts etc.

  • Perform other duties as assigned by the director

KNOWLEDGE/SKILLS

  • IB Philosophy (preferable)
  • Whole school procedures, organisation, operations, policies, objectives and structure
  • Record-keeping techniques, filing systems and information management
  • Correct English usage, grammar, spelling, punctuation and vocabulary
  • Good oral and written communication skills
  • Interpersonal skills using tact, patience and courtesy

MINIMUM QUALIFICATIONS AND EXPERIENCE

  • Bachelor’s degree in Marketing, or Communications or an equivalent relevant administrative or commercial discipline.
  • At least three years of progressive experience in marketing, communications and admissions.
